Private Lesson Regulations

Scheduling and Cancellation

 

  1. Private lessons are available at either the student's office or at home between 8:00 am and 8:00 pm, excluding Sundays, holidays, and between December 29 and January 3. 
  2. The lessons may be scheduled at the same time each week or as needed.  
  3. Please contact the AJALT office, should you wish to change the instructor you work with. AJALT will gladly assign you another instructor. 
  4. Contact your instructor or the AJALT office, should you wish to schedule additional lessons. 
  5. If you need to cancel your lesson, please contact your instructor or the AJALT office by 5:00pm on a business day previous to the date of the lesson.. Your subsequent lessons will be re-confirmed. The AJALT office business hours are as below:
    ・ The office is open between 9:00 am to 5:00 pm on Monday through Friday. 
    ・ The office is closed on Saturday, Sunday, national holidays, and from December 29 to January 3. 
  6. AJALT will contact you, should your instructor be unable to meet with you for a scheduled lesson due to unforeseen circumstances. You will be able to reschedule or cancel your lesson.
  7. Please contact the AJALT office, if you wish to discontinue your lessons.

Tuition and Invoicing

 

  1. You will be charged the standard registration fee, when you commence your lessons.
  2. AJALT will bill you for the lessons you actually take. At the start of each month, you will be invoiced for the lessons taken during the previous month.
  3. If you need to cancel your lesson, you must contact your instructor or the AJALT office before 5:00 pm on the business day before your lesson. Otherwise, you will be charged the full amount for the canceled lesson.
  4. AJALT normally does not charge for the instructor's travel time or travel costs for lessons delivered within a reasonable distance from the AJALT office. AJALT will provide a quote on travel costs, if the student wishes to set up lessons at an out-of-the-way location.
  5. Your invoice will include the actual cost of textbooks and other materials purchased through AJALT.

Group Lesson Regulations

1. Tuition

    A payment for the tuitions, registration fee, and course materials is required before the first day of the course.

2. Prorating of Course Tuitions

  1. There will be no refund on missed lessons.
  2. A student joining in the middle of a course pays prorated tuitions, which are calculated based on the number of hours remaining in the course. A 10% fee will be added to the prorated tuition amount.

3. Dropping the Course

  1. The student is allowed to drop the course under unforeseen circumstances.
  2. The day AJALT receives a request to drop the course will be the termination date.
  3. AJALT will refund the balance of an amount that remains after the following tuitions and fees:
    • Registration fee
    • Fees for the course materials purchased before the course is dropped
    • Tuitions for the number of hours of lessons that AJALT has conducted before the termination date (There will be no refund for missed lessons. A 10% fee will be added to this prorated amount.)
    • Any applicable bank fees for a bank transfer

4. Force Majeure

    Lesson schedule may change due to circumstances beyond AJALT’s control, including natural disasters, disease outbreaks, etc.

5. Lessons for Catching Up

  1. AJALT offers up to three hours of lessons to students who wish to join a beginner’s course that is already ongoing or to students who have missed some of the lessons in a beginner’s course.
  2. AJALT decides whether to offer the catch-up lessons based on the student request and his/her attendance records.
  3. The cost of the catch-up lessons is 2,310 yen per hour, including taxes, and payable in addition to the course tuition.
  4. The catch-up lessons are scheduled in the same range of dates in which the course, that the student is taking or wishes to take, is offered.
  5. The catch-up lessons are available on weekdays between 8:00 am to 8:30 pm.
  6. If you wish to cancel or reschedule a catch-up lesson, please notify the AJALT office by 5:00 pm on a business day previous to the date of the lesson. Otherwise AJALT will not be able to reschedule or cancel the lesson, and you will be charged for it.
  7. Tuition for each catch-up lesson is payable on the day of the lesson.

Online Group Lesson Regulations

1. Tuitions

  1. An online payment for the tuitions and registration fee is required before the due date set for your course. Payment for course materials is also required for the Survival Japanese course.
  2. Once your payment is confirmed, you will receive a mail directing you to the online classes.

2. Online Classes

  1. Online classes will be offered via Zoom.
  2. Students are responsible for wireless and other charges for data access. Please setup your device and data access before your first Zoom class.
  3. A class will be rescheduled, if it is interrupted or canceled due to technical issues at AJALT.
  4. Your attendance record will show a missed class, if you are unable to participate due to technical issues on your end. Please see ’7. Make Up Classes’ on attending a make-up class.

6. Recording

  1. Recording of online classes is prohibited.
  2. AJALT will record classes and provide access to the recordings as needed. These recordings will be erased a week after the end of each course.

7. Make Up Classes

    You will be given access to the recording of a class you miss for a limited period of time.

◎ The lesson fee is charged per class and not per student. Up to 20 students are allowed in each class.

Transportation fee :The instructor's transportation costs will be assessed in addition to the lesson fee.

Programs for Enterprises Regulations

AJALT can design a program that meets your specific needs and offer Japanese lessons at the time and location you choose.

 

1.  AJALT submits a quote on the total program cost, including lessons, transportation, and text materials.

  1. Two to twenty students may enroll in each program. When placing emphasis on developing communication skills, two to eight students is recommended.  
  2. Each lesson is one-hour minimum with additional 30-minute increments.
  3. Other than tuition, charge for program management (20% of the tuition), creating course materials (10% of the tuition), transportation expense of instructors are necessary.
2. Once you approve the quote, AJALT will ask you to sign a contract or other documents, as necessary.

3.  AJALT develops a curriculum based on your requirement.

  1. Once the program begins, no changes to the contract will be allowed.
  2. You will be invoiced at the beginning of the program.
  3. AJALT instructor can submit a progress report upon completion of the program.
